Staff access

For staff who manage team access. Gymplify uses different roles to control which tools each person can use. Staff members can have different permissions based on their responsibilities.

Give each person the access they need

Use staff access for the work a person does: managing members, coaching, maintaining gym settings, or handling the business's subscription.

Working at the gym does not automatically provide access to every tool. Managing shared settings and working with an individual member can require different permissions.

Modules and plan allowances can also affect which tools are available.

Connect the staff member

Every staff member should sign in with their own Gymplify account. You can add them before they have one:

  1. Open People → Staff and select + Staff member.
  2. Select Choose from member list and search for the member, or select Add someone new and enter their name and email.
  3. Choose their Role. Only Owners can choose Admin.

Until you create or link their login on their member profile, the person is shown as Awaiting login: the role gives no access and uses no staff seat. Linking the login applies the role. A profile without a login cannot be used to sign in to the Admin Panel.

Manage a colleague's access

If you have permission to manage team access:

  1. Open People → Members and select the person.
  2. Open the Actions tab. Staff roles under Access & account shows their current role.
  3. Select Edit staff access.
  4. Pick the Role that fits their responsibilities: Front desk, Class coach, Personal trainer, Manager or No staff access. The role fills in every permission.
  5. If needed, change the access level of individual permissions, then select Save access. Permissions that no longer match a role exactly are shown as Custom.

The available options depend on your own permissions and the gym's staff allowance. If you cannot make the required change, contact the person responsible for managing your gym's team access.

Staff who also train at the gym

A person can use the same account for staff work and their own member experience. Staff access does not replace their gym membership. If they also qualify as an active member, they can count toward both the staff and active-member allowances.

Understand plan allowances.

A colleague cannot see a tool

Check the selected gym, the account linked to the profile, and the access assigned to that person. Then check whether the relevant module is enabled.

Different staff members may correctly see different tools. Confirm what the person needs for their work before changing their access.

Next: Return to the staff guide or check the gym's configuration.
